How to Create Job Types and Positions
This article will explain the steps needed to create job types and positions within Frontline Insights.
Positions: “Positions connect a Job Type to users, their contracts, locations, accounting codes, and expected hours. The connection of a specific user to a Position is made through a Position Assignment.”
Job Types: “The work a person is doing. Job Type is important for payroll interfaces and connects users to the pay rules and preferences in a Staff Group.”
Creating Job Types:
Navigate to Job Types
Configure > People Management > Job Types
From the Job Types page you can:
Create Job Type- From the Job Types page, click the green Create Job Type button.
Define the Job Type- Enter the Name, Job Code (if required), and Exempt Status.
Create Job Type Button- Click the blue Create Job Type button.
Modify a Job Type- Use the blue Modify this Job Type button to make changes, as needed
Note: Once a Job Type has been saved, only the Name and Job Code can be modified.
Creating Positions:
Navigate to Positions
Configure > People Management > Positions
From the Positions page you can:
Create a Position- From the Positions page, click the green Create Position button.
b. Match a Job Type- Enter the Name and Job Type with which this position should be associated → Description and Code fields are not required -> Then, click next
Be sure to give this position the same name as the corresponding Job Type.
c. Set Defaults - Enter the Start Date, or date the position will be available in your organization. This is the first day someone could have a timesheet for this position. Select the associated organization in the Location drop-down and click Add. Once completed, click Next.
Only the Start Date matters - the other details are required but will be overridden when you setup your users.
d. Select Contracts - Select all Contracts that apply to this Position from the list of all available Contracts in your organization. Once completed, click Final.
Leave #FTE column blank or the system will not allow you to assign a user to a Position if it causes you to exceed the number of available FTE entered here.
e. Modify this Position - Use the Modify this Position button to edit the position details, as needed.
