Visitor Management System

We have received the equipment for the visitor management system for district buildings. The visitor management system selected is called Verkada Guest and will be able to integrate with the other security systems in the buildings. Over the next few days IT Services staff will be placing an iPad kiosk in the main office of each building for visitors to check in when they arrive at the building. 

Moving forward, please have all building visitors register using the visitor management system. This system will quickly perform a background check on the visitor and notify office staff if there are any security concerns associated with the visitor such as Megan’s Law, etc. It will also print a badge for the visitor.

Please share this with your building staff as necessary. When our team delivers the hardware at your building, they will touch base with the office for a brief overview; if your office staff needs individualized training above what is provided, please create an IT Support Ticket. 

The district will also be sending additional communications regarding this change to all district families.

Important Updates

What background checks are being used?

Right now the system checks visitors against sexual offender lists. It does not check other criminal background systems. Individuals flagged or denied in the system are not permitted on school property. However if a parent is flagged, they must be allowed to attend meetings with students/teachers/administrators and should be escorted as all times.

What if a visitor is flagged?

The system will alert the building secretary of the concern or denial. The secretary should then reach out to their building administration to communicate with the visitor. If a building administrator is not available please use the District-Wide channel on the radios to request administrative assistance at your building. Parents/Guardians who are flagged must be escorted for meetings with students/teachers/administrators. All other individuals who are flagged are not permitted entrance to the building.

What if a visitor doesn't have an ID?

Visitors without IDs will be presented with a skip option a few seconds after initiating the ID scan. Secretaries will then need to enter their name and date of birth in the system for a badge to print. 

Do employees from other buildings, volunteers, etc. have to check in?

We are adding an Employee check in option for visiting staff and volunteers to use. It will not print them a badge. Please ensure that visitors entering your building either have a district badge or visitor badge before letting them through the office.

Who should use the system?

Please use the system for anyone entering the building past the main office on instructional school days. This would include volunteers, guest speakers, parents, etc. For parents picking up children or visitors remaining in the office, they do not need to have a badge printed, but please ensure to check Synergy for any concerns related to parent/student relationships as always.
